As a shipper, saving money and finding ways to lower freight costs are always top of mind when considering the services and solutions that you leverage for logistics. After all, protecting your bottom line is vital throughout your organization — shipping is no exception.

It's important to understand, however, that chasing the lowest less-than-truckload (LTL) and full truckload (FTL) freight shipping rates isn't always the most sustainable way to reduce your transportation department's overall spend. You also must consider all the resources needed to ship (labor, hard freight costs, processes and technology) and lower freight expenses with a holistic approach.

How To Lower Freight Costs

GlobalTranz is a leading third-party logistics (3PL) provider with decades of experience helping businesses just like yours make the most of their shipping operations. Here we provide eight tips on how to reduce freight costs that don't always involve finding the lowest rate for singular shipments.

1. Consolidate (and Develop Relationships With) Your Carriers

Consolidating the number of carriers you leverage may increase your profit margin. One approach is to look at your freight by lanes and types of shipments and ask a number of carriers to bid on them. You can also bring in a few of your carriers to talk about your challenges and find out what solutions they would employ. In the end, you can generally expect lower freight costs when you greatly increase the amount of volume per carrier. They will appreciate your business and will reward you for it.

You can also contact a 3PL provider to look at your freight expenses. A non-asset based 3PL does not own any trucks and can provide an objective viewpoint while negotiating lower freight shipping rates with their in-house network of freight carriers. This can be the most effective way to create a tailor-made strategy to get the very best freight rates possible for your specific needs.

2. Know Your Shipping and Logistics Services

Freight shippers have more solutions available to them than they might think when they need to move products. Knowing those options inside and out can help them cut freight shipping costs and remain profitable. In fact, not understanding how to best leverage freight services can have a negative impact on your budget.

For example, there are times when it makes financial sense to move your product by LTL freight shipping. This is a great option if you have shipments that are large, but still aren't big enough to fill an entire truck. However, if you have multiple freight shipments going to the same location, it just makes sense to load them all onto one full truckload (FTL) shipment as a cost-savings measure.

These are just two examples of why it's important to understand your shipping options. By working with a 3PL, you will have access to a partner who can advise you on which freight shipping services are right for your products.

3. Understand Accessorial Fees

Accessorial fees are often called "unforeseen" or "unexpected" fees since they do sometimes come as a surprise to shippers. However, these freight costs are often legitimate, and shippers are on the hook to pay them. Some of the most common accessorial fees are:

  • Liftgate charge
  • Inside pickup or delivery fee
  • After-hour delivery
  • LTL reclassification
  • Limited-access delivery
  • Fuel surcharges

If you feel you were wrongly charged an accessorial fee, you can certainly take it up with the carrier. However, there isn't much you can do if the cost is justified. The most important strategy in dealing with accessorial fees is to understand and plan for them. A 3PL can help you develop tactics to offset these freight costs and understand when they are and are not needed.

4. Avoid Rush Shipping

Sometimes it's necessary for companies to use expedited shipping for products that must be there as soon as possible. However, it is generally not sustainable to constantly rely on this shipping method when other options are available.

Rush shipments can sometimes cost two to three times the price of a normal delivery, making it worthwhile to find out why you are using this solution so often, and to look at how you can increase your lead times. You may also want to look at your internal supply chain processes to get away from rush orders.

5. Ship During Off-peak Times

You may not always have control over when your shipments need to be moved. However, when you do have such authority, you may want to try to ship during off-peak times. Generally speaking, most loading and unloading happens during normal business hours during the week. If you can swing it, try to ship after 7 p.m., during the weekend and even on Fridays and Mondays when shipping volumes aren't as high and freight shipping rates may be slightly lower.

6. Freight Bill Audit

A freight invoice is more than just a bill. It is a snapshot of your shipping strategy and provides all the details of how you ship and what services you utilize. Conducting a freight bill audit can help you understand where and how you spend money AND how you can optimize your shipping for lower freight costs. A 3PL can help by making sure you are being charged at the right class and rate, and whether or not you need the services that are producing accessorial fees, among other services.

7. Utilize a Transportation Management System

A transportation management system (TMS) is an all-in-one technology platform that serves as the shipping hub for companies who use them. They are vital in today's shipping world. An effective TMS can help you with the following shipping tasks:

  • Get instant freight quotes from multiple carriers.
  • Add insurance options while booking shipments.
  • Customize invoicing and payment options for easy accounting.
  • Track all shipments from one convenient platform.
  • Make informed shipping decisions with real-time visibility.

An industry-leading 3PL can provide you with access to these platforms and can help you set up processes to save money and cut freight shipping costs.

8. Work With a 3PL To Cut Freight Expenses

As mentioned, working with a 3PL can help you develop strategies to protect your bottom line and ship smarter. In fact, a 3PL can provide you with:

  • Lower freight costs: Get competitive rates by leveraging the size and scope of offerings and reduce your overhead costs associated with shipping.
  • Consistent capacity: Tap into a network of multimodal carriers that are sourced, qualified and managed by your provider.
  • Visibility and reporting: Track shipments more easily and get automated reporting and back-office support.
  • Consultative partnership: Gain a partner with industry expertise that can help create custom-made solutions.

When looking for the optimal freight shipping mode to save you time and money, you'll likely run across multimodal shipping. This mode of shipping allows you to not only avoid the hassle of booking several individual carriers to move your freight from point A to point B but may also provide substantial cost savings as you work to grow your business. That's why we've compiled a list of benefits and tips for incorporating multimodal shipping services into your freight process.

Defining Multimodal Shipping

Multimodal shipping services involve the use of multiple carriers across two or more shipping modes to transport your freight. Typically, one contractor coordinates the entire shipment, so shippers benefit from one comprehensive contract and one invoice. With multimodal shipping, shippers can schedule all portions of a shipment's journey at once, cutting time and labor costs associated with multiple contracts.

Multimodal vs. Intermodal Shipping

Many shippers confuse multimodal shipping with intermodal shipping, but there is a clear distinction between the two methods. While multimodal shipping involves a single contractor handling each leg of the freight's journey, intermodal shipping involves having a separate contract for each mode utilized. Each method comes with its own advantages and disadvantages, so make sure to do your research before deciding which is right for you.

Multimodal Shipping Intermodal Shipping
Carriers and Contractors In multimodal shipping, one contractor will organize all carriers. This means less freedom of choice but may simplify the scheduling process. In intermodal shipping, each carrier used will have its own contractor. This gives the shipper more freedom but may add difficulty when scheduling.
Associated Costs Multimodal shipping can be more expensive, since the contractor will pick the best options over the most cost efficient. Intermodal shipping gives shippers the freedom to choose carriers and modes that fit their specific needs and budget.
Responsibility Since there is only one point of contact, multimodal shipping takes the responsibility off the shipper in case of damage, delays or other challenges. As their own organizer, shippers utilizing intermodal shipping are responsible for handling all potential road blocks with all carriers used.
Shipping Speed Multimodal shipping may be faster since the contractor will choose the most efficient path for transport. Intermodal shipping may be slower since shippers often choose cost-savings options over efficiency.

Benefits of Multimodal Shipping

So why book multimodal transportation for your shipments? Along with cost savings and ease of planning, multimodal shipping provides an array of benefits for freight shippers. Some of the benefits of multimodal shipping are:

Improved freight spend

When implemented correctly, multimodal shipping can lower shipping costs because it reduces the need to contract multiple carriers, keeping volume discounts and guaranteed capacity at their peaks.

Ease of communication

Since multimodal transportation includes only one contractor, shippers need not worry about communicating delays or challenges to a long list of carriers. Your contractor is singularly responsible for coordinating the transport of your freight door to door.

Faster delivery times

When all shipping modes are booked at once and on a single contract, freight takes less time and effort to transition from one mode of shipping to the next, allowing for faster transit time.

Tips for Utilizing Multimodal Shipping Services

There are many ways companies can increase their operational efficiencies by utilizing multimodal transportation, but getting started can feel overwhelming. Luckily, working with a reliable third-party logistics (3PL) provider with innovative technologies can help streamline the process and make booking multimodal shipments a breeze. Here area few tips to help you get started:

Integrate carrier systems into your TMS.

When you partner with a 3PL, you'll gain access to their transportation management system (TMS) where you can keep track of all shipments and records in one convenient location. You can even link the carrier systems you use most often to get real-time data about each of your shipments. A supply chain can only be successful through effective communication, so utilize real-time TMS data to keep your team up to date with complete visibility of your shipment.

Use APIs to digitize the tendering and quoting process.

Fluidly move freight through the supply chain while monitoring its progress and detect any potential issues early on by utilizing Application Programming Interfaces (APIs). APIs are connections that allow you to customize your shipping technologies. With APIs, you can integrate key details into your e-commerce website, warehouse management system (WMS) and more, allowing you to gain end-to-end visibility of your supply chain processes.

Consider all modes of shipping before booking.

Multimodal shipping, while great for saving time and money in some instances, is not the ideal choice for every shipment. Before booking, make sure to consider all shipping modes and compare the benefits of each. It's important to choose the methods that work best for you, your companyand your shipment.

Consider freight consolidation when applicable.

Shippers should also consider freight consolidation to move between modes properly and avoid losses. Determine what size shipments are flowing throughout the facility at any given time. Is it a full truckload (FTL) or a less-than-truckload (LTL) shipment? Knowing how to maximize consolidation/deconsolidation is a critical aspect of multimodal shipping.

The cost of fuel is hitting record-breaking numbers. The average American is paying more every time they go to the pump, and the transportation industry has also been massively impacted. Carriers are paying more to fill up their trucks and this is reflected in the fuel surcharges being applied by major freight carriers to cool record-high levels of demand. These surcharges are additional fees (many of which can be found in our list of transportation terminology ) charged by carriers when the cost of fuel exceeds a certain threshold. This can make it incredibly difficult for shippers to execute shipping strategies and meet customer expectations — but there are ways to mitigate these added costs. Here, we detail five steps shippers can take — with the help of their 3PL — to navigate the effects of rising fuel surcharges.

1. Optimize mode selection and consolidate shipments

Shippers can alleviate some of the impacts of high fuel costs by taking a look at their current transportation strategies and finding areas for optimization. With higher fuel surcharges, consolidating your freight should be a top consideration. Shippers — especially those who primarily use less-than-truckload (LTL) — should look into delaying less time-sensitive shipments and consolidating freight into either larger LTL shipments or even full truckload shipments where possible.

This is where the reporting capabilities of your transportation management system are critical. By tapping into GlobalTranz’s TMS technology, you get a control tower view of your shipments across all modes of transportation. The insights you receive from our transportation management system paired with the insights from our expert teams can provide opportunities to optimize your processes, consolidate shipments and save money.

2. Work with carriers to plan efficient routes

When fuel costs are high, the route a carrier chooses to take is especially important. Work with your carriers to optimize routes — planning for the shortest mileage, avoiding common rush hour times and minimizing fuel usage. A 3PL, like GlobalTranz, can help with this, ensuring that your carriers are planning the most efficient route without negatively impacting on-time deliveries.

3. Work with a 3PL who prioritizes sustainability

Providers who already prioritize sustainability have experience optimizing fuel efficiency and limiting empty miles as part of their daily business practices. Reducing deadhead miles — when a truck is driving empty after delivering cargo — can be beneficial to shippers as carriers often pass on some of the costs of the empty miles to shippers. A 3PL can help you look for backhaul opportunities within your own network to avoid unnecessary costs for moving empty trucks.

GlobalTranz is a SmartWay Transport Partner, which allows us to partner with the EPA to measure, benchmark and improve our operations in order to reduce our environmental footprint. We were also recognized by Inbound Logistics as a Green Supply Chain Partner for 2021. GlobalTranz is committed to supply chain sustainability, and we work with carriers to prioritize environmental efficiency — leading to benefits for shippers especially given recent fuel costs.

4. Become a shipper of choice to limit fuel surcharges

Becoming a shipper of choice for carriers will go a long way in attracting quality transportation providers and keeping costs low. Taking care of drivers, helping shipments run smoothly and reducing loading and unloading times are all strategies to become a shipper of choice.

Additionally, when drivers must wait for long periods of time at the shipper or consignee, they will wait with their truck’s engine running. This adds to their fuel usage and can impact the rates paid by shippers. GlobalTranz can help you make adjustments to your operations so that you can become a shipper of choice for quality carriers by evaluating things like loading and unloading times to identify areas for improvement.

5. Consider onshoring or nearshoring

Rising labor and transportation costs as well as fuel surcharges have led many shippers to lose the savings that were typically associated with offshoring. While updating your warehousing and distribution strategy to utilize onshoring or nearshoring may not be a quick change you can make today, it is a long-term strategy to consider. Shortening the overall supply chain can help mitigate rising transportation costs, especially the recent fluctuations in fuel costs.

GlobalTranz offers a solution to manage your fulfillment, warehousing and distribution needs. We can work with you to create a strategy that takes into account the volatile market and recent trends stemming from rising fuel costs.
